MiinDigital (“we”, “us”, “our”) operates miindigital.com and provides done-for-you digital marketing services including website development, SEO and AI search optimization, and email marketing setup.

This policy explains what personal data we collect, why, how long we keep it, and what rights you have over it. It covers this website, our free tools, and our client services.

The short version

  • Our free tools run entirely in your browser. Files and text you put into them are not uploaded to us.
  • We collect personal data when you contact us, subscribe to something, or become a client.
  • We do not sell personal data, and we do not share it for advertising purposes.
  • You can ask us what we hold about you, and ask us to delete it.

Free tools: what happens to your data

Our free tools (image compressor, circle crop, text case converter, word counter, meta tag generator, UTM builder, QR code generator, readability checker, SERP preview, and the others listed on our tools page) run client-side in your browser using JavaScript.

This means:

  • Images, text, and files you use with these tools are processed on your own device
  • They are not transmitted to our servers
  • They are not stored by us
  • They are not visible to us at any point

When you close or refresh the tab, that data is gone. We keep no copy because we never receive one.

We do collect standard, non-identifying usage information about which tool pages are visited, described under Analytics below.


What we collect and why

When you use the contact form

We collect the name, email address, company name, message content, selected service, and the page you submitted from. We use the page reference to understand which service you were reading about so we can reply usefully.

Purpose: responding to your enquiry and, if you become a client, delivering the work. Legal basis (GDPR): legitimate interests, or steps taken at your request prior to entering a contract.

When you email us directly

We hold your email address and the contents of your message in our mailbox.

Purpose: correspondence. Legal basis: legitimate interests.

When you subscribe to updates

If you opt in to receive content or updates, we collect your email address and, where relevant, your name. Emails include an unsubscribe link in every message.

Purpose: sending you the material you asked for. Legal basis: consent, which you can withdraw at any time.

When you become a client

Depending on the service, we may hold your business contact details, billing information, domain and hosting details, and credentials or delegated access to systems we are engaged to work on (such as your website admin, analytics properties, search console, advertising accounts, or email platform).

We access client systems only to perform the work we have been engaged to do. We do not use client data for any other purpose, and we do not use it to train any model or resell it in any form.

Purpose: performing the contract. Legal basis: contractual necessity.

When you use MiinPlanner

MiinPlanner is our separate task management application. If you create an account, we collect your email address, authentication details, and the content you enter into the application. This data is stored on Google Firebase infrastructure.

MiinPlanner data is not merged with website enquiry data and is not used for marketing unless you separately opt in.

Purpose: operating the application. Legal basis: contractual necessity and consent.

Automatically, when you visit the site

Our hosting provider records standard server logs including IP address, browser type, referring page, and time of request. These are generated automatically by the web server and are used for security and troubleshooting.

Purpose: site security, abuse prevention, diagnosing faults. Legal basis: legitimate interests.


Analytics

We use Google Analytics and Google Search Console to understand how the site is found and used: which pages get traffic, which search queries lead here, how visitors move through the site.

This tells us about patterns, not about you personally. We do not attempt to identify individual visitors from analytics data, and we do not combine analytics data with enquiry or client data.

Google acts as our processor for Analytics and may transfer data outside your country. You can prevent Google Analytics collection using the Google Analytics opt-out browser add-on.


Cookies

We use cookies for the following purposes:

Necessary. Session management, security, and remembering your cookie preferences. These cannot be disabled without breaking the site.

Analytics. Google Analytics cookies, used as described above. These are only set if you accept them.

WordPress functional. If you leave a comment, WordPress may store your name, email, and website in cookies so you do not have to re-enter them.

You can control cookies through your browser settings. Blocking analytics cookies will not affect your ability to use the site or any of the free tools.


Who we share data with

We do not sell personal data. We share it only with service providers who process it on our behalf, and only as needed:

Payment card details are handled entirely by PayPal. We never see, receive, or store card numbers.

We may also disclose personal data where required by law, or to establish or defend legal claims.


International transfers

MiinDigital operates from Vietnam. Our service providers operate in the United States and the European Union. This means personal data may be transferred outside your country of residence.

Where we transfer data of individuals in the European Economic Area or United Kingdom, our providers rely on Standard Contractual Clauses or equivalent safeguards.


How long we keep data

We delete or anonymise data once the purpose it was collected for no longer applies.


Your rights

Depending on where you are located, you have some or all of the following rights:

  • Access. Ask what personal data we hold about you and receive a copy.
  • Rectification. Ask us to correct data that is wrong or incomplete.
  • Erasure. Ask us to delete your data, where we have no overriding legal reason to keep it.
  • Restriction. Ask us to pause processing while a dispute is resolved.
  • Portability. Receive your data in a machine-readable format, or have it sent to another provider.
  • Objection. Object to processing based on legitimate interests.
  • Withdraw consent. Where processing is based on consent, withdraw it at any time. This does not affect processing that already happened.
  • Complain. Lodge a complaint with your local data protection authority.

To exercise any of these, email minh.pham@miindigital.com. We will respond within 30 days. We may ask you to verify your identity before acting on a request.


Security

We use HTTPS across the site, keep WordPress core and plugins updated, and restrict administrative access. Client credentials are stored in a password manager, not in plain text or email.

No system is perfectly secure. If a breach occurs that presents a risk to your rights, we will notify you and the relevant authority as required by law.


Children

This site and our services are intended for businesses and adults. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will delete it.


Third-party links

Our site and articles link to external websites and tools. We are not responsible for their privacy practices. Read their policies before providing them with personal data.


Changes to this policy

We may update this policy as our services or legal obligations change. The date at the top reflects the most recent revision. Material changes will be flagged on this page.
