How to Use the Email Signature Generator

  1. Pick a template: Modern (photo with an accent divider), Classic (logo on top with a bordered header), or Minimal (plain text with subtle dividers).
  2. Fill in your details: name, job title, company, phone, email, and website. The preview updates instantly as you type.
  3. Add a photo or logo URL (optional): paste a direct image link. If you skip it, Modern falls back to a colored initials badge.
  4. Add your social links: LinkedIn, Twitter/X, Facebook, Instagram, and YouTube URLs each show as a small badge or text link.
  5. Pick an accent color to match your brand: it’s used for the divider, links, and social badges.
  6. Copy or download: use “Copy Signature” to paste it directly into Gmail or Outlook’s signature box, or switch to the HTML Code tab to copy the raw code or download it as a file.

What Is an Email Signature Generator: and Why Use One?

An email signature is one of the most-viewed pieces of marketing real estate you own, it appears on every single email you send. A well-built signature reinforces your brand, makes it easy for people to reach or follow you, and looks consistent no matter who on your team sends it. Building one by hand means wrestling with HTML tables and inline styles to keep it from breaking in Outlook or Gmail, this tool handles that for you.

  • Modern template: a circular photo or initials badge next to your name, title, and contact details, divided by a colored accent bar. Great for individual professionals and sales teams.
  • Classic template: company logo on top with a bordered header below, ideal for teams that want the brand front and center.
  • Minimal template: plain text with a thin top border and pipe-separated contact details. Loads fast and looks clean in any inbox.
  • Table-based HTML output: the generated code uses table layout with inline styles, which is the most widely compatible format across Gmail, Outlook, Apple Mail, and other clients.

All processing happens in your browser, your name, contact details, and any image URLs you enter are never sent to a server.

Frequently asked questions

How do I add this signature to Gmail?

Click “Copy Signature” on the Signature Preview tab, then go to Gmail Settings → See all settings → General → Signature, create or select a signature, click inside the box, and paste (Ctrl/Cmd+V). Gmail will keep the formatting, colors, and links.

How do I add this signature to Outlook?

In Outlook, go to File → Options → Mail → Signatures, create a new signature, click inside the edit box, and paste. If formatting looks off, use the HTML Code tab instead: copy the code, and in Outlook’s signature editor use “Edit in HTML” or paste as HTML if your version supports it.

Why isn’t my photo or logo showing up?

The image URL needs to be a direct, publicly accessible link ending in the image itself (not a webpage). Right-click an uploaded image online and choose “Copy image address” to get the correct link. Some email clients also block remote images by default until the recipient clicks “Show images”, this is normal and outside the signature’s control.

Will the circular photo and rounded badges look the same in every email client?

Mostly. Gmail, Apple Mail, and most modern clients render border-radius correctly. Older versions of Outlook for Windows use Microsoft Word’s rendering engine and may show square corners instead of circles, the layout and content still display correctly either way.

Is my data stored anywhere?

No. Everything is generated live in your browser with JavaScript, nothing you type or paste is sent to or stored on any server.

Can I use this for my whole team?

Yes, generate one signature per person by changing the name, title, and contact fields while keeping the same template, accent color, and logo for brand consistency across your team.
